Remindo ("we", "our", or "us"), operated by BACS Technology FZE L.L.C, is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our task and service management platform.

1. Information We Collect

We collect information that you provide directly to us, including:

  • Account Information: Name, email address, phone number, and company details when you register for an account.
  • Client Data: Contact details of your clients that you add to the platform for service management purposes.
  • Service Data: Information about tasks, services, documents, and business operations you manage through our platform.
  • Communication Data: Email addresses and phone numbers used for sending service reminders and notifications.
  • Documents: Files you upload to the platform for task and service management.

2. How We Use Your Information

We use the collected information for the following purposes:

  • To provide and maintain our task and service management platform.
  • To send transactional emails including service reminders, task notifications, and account-related communications.
  • To send WhatsApp notifications about upcoming services and tasks (when enabled by the account holder).
  • To process and manage your account and subscription.
  • To provide customer support and respond to inquiries.
  • To improve and optimize our platform.

3. Email Communications

We use Amazon Web Services Simple Email Service (AWS SES) to send transactional emails. These emails include:

  • Service task creation notifications
  • Task assignment and status update emails
  • Account verification and password reset emails
  • Subscription-related notifications

We do not send marketing or promotional emails. All emails are transactional in nature and directly related to the services you use on our platform.

4. WhatsApp Communications

When enabled by the account holder, we send WhatsApp messages through the Meta WhatsApp Business API for:

  • Service reminders and task notifications to clients
  • Upcoming service due date alerts

WhatsApp messaging is optional and controlled by the account holder. Recipients can opt out at any time.

5. Data Storage and Security

We implement appropriate technical and organizational measures to protect your data:

  • Data is stored on secure servers with encryption at rest and in transit.
  • Documents are stored securely using Amazon S3 with access controls.
  • Access to data is restricted based on user roles and permissions.
  • We use HTTPS for all data transmissions.
  • Passwords are hashed and never stored in plain text.

6. Data Sharing

We do not sell, trade, or rent your personal information to third parties. We may share data only with:

  • Service Providers: AWS (hosting, email, storage), Meta (WhatsApp API) — only as necessary to provide our services.
  • Legal Requirements: When required by law or to protect our rights.

7. Data Retention

We retain your data for as long as your account is active or as needed to provide our services. You may request deletion of your account and associated data by contacting us.

8. Your Rights

You have the right to:

  • Access your personal data stored on our platform.
  • Request correction of inaccurate data.
  • Request deletion of your data.
  • Opt out of WhatsApp notifications.
  • Export your data.

9. Anti-Spam Policy

We have a strict anti-spam policy. We do not send unsolicited emails or messages. All communications sent through Remindo are:

  • Transactional in nature — directly related to services the recipient has engaged with.
  • Sent only to recipients whose data has been added by a registered business account holder.
  • Compliant with applicable anti-spam laws including CAN-SPAM Act, GDPR, and UAE regulations.
We actively monitor bounce rates and complaint rates. Accounts that generate excessive bounces or complaints will be investigated and may be suspended to maintain our sending reputation.

10. Bounce and Complaint Handling

We take email deliverability seriously and implement the following measures:

  • Bounce handling: Email addresses that hard-bounce are automatically flagged and removed from future sends to maintain list hygiene.
  • Complaint handling: If a recipient marks our email as spam, we immediately suppress that address from future communications.
  • Monitoring: We continuously monitor our bounce and complaint rates to stay well below industry thresholds.
  • List hygiene: Account holders are responsible for maintaining accurate and up-to-date recipient information.

11. Consent and Opt-In

Email and WhatsApp notifications through Remindo are sent based on an existing business relationship between the account holder and their clients. By adding client information to the platform, the account holder confirms that:

  • They have an existing business relationship with the recipient.
  • The recipient has provided their contact information for business communication purposes.
  • They will honor opt-out requests promptly.

Recipients can opt out of communications at any time by visiting our Unsubscribe page or by contacting the business directly.

12. Cookies

We use essential cookies for authentication and session management. We do not use tracking or advertising cookies.

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new policy on this page and updating the "Last updated" date.

14. Email Frequency

We limit the number and frequency of emails sent to recipients:

  • Service reminder emails are sent only when a new service task is created or a due date is approaching.
  • Account-related emails (password reset, verification) are sent only when triggered by the user.
  • We do not send daily digests, newsletters, or batch promotional emails.
  • Typical recipients receive no more than 1-3 transactional emails per week.

15. Recipient List Management

We maintain strict practices around recipient lists:

  • We do not purchase, rent, or acquire email lists from third parties.
  • All recipient email addresses are provided by registered business account holders who have a direct relationship with the recipients.
  • We do not share recipient lists between different business accounts on our platform.
  • Invalid or inactive email addresses are automatically cleaned from the system.
